Job Summary:

The Faculty of Business and IT (FBIT) seeks a Graduate Program Assistant. Reporting to the Director, Planning and Operations, and working closely with the Associate Deans and Graduate Program Directors, the incumbent will provide a high level of administrative support to all graduate programs.

Nature of work:

  • Reports to the Director, Planning and Operations (FBIT)
  • Office based work environment with some travel for recruitment
  • Sitting with extended periods of computer use
  • Handling difficult situations appropriately when advising students

Responsibilities/accountabilities:

  • Act as primary contact for all graduate students from admission to graduation, providing support related to course selection, program requirements, scheduling and registration.
  • Provide information to prospective Graduate students about programs, admission requirements, application procedures and general aspects of the graduate programs.
  • Assists in the development of all graduate program recruitment and promotional materials such as admissions publications, brochures, videos and web pages
  • Provide administrative support to Graduate Program Directors and coordinate and attend all Graduate Education Committee and Graduate Admission Committee meetings.
  • Promote FBIT graduate programs at graduate fairs
  • Provides graduate student academic advising on matters such as internship and capstone processes, conducting student audits and checking internship eligibility
  • Coordinate with Registrar on setting up courses, handling grades and exams
  • Support timetabling, class size and section planning processes
  • Provide support for graduate program reviews
  • Liaise with the School of Graduate and Post-Doctoral Studies to ensure compliance with all SGPS policies.
  • Provide general administrative program support including managing of correspondence, filing, and maintaining distribution lists.
  • Plan and coordinate FBIT graduate orientation bootcamps and other events for FBIT graduate students
  • Other general duties as assigned.

Required Skills

  • Well-developed written and oral communication skills, and strong presentation, organizational and time management skills.
  • Technically proficient in the use of Microsoft Office applications, Adobe Connect, social media platforms and Google Drive.
  • Working knowledge of web applications and previous experience with Banner and EPAF would be considered an asset.
  • Proven team player dedicated to excellent customer service with public relations skills.
  • Ability to manage many tasks simultaneously in a fast-paced environment.
  • Demonstrated ability to exercise a high degree of professionalism, good judgment, initiative, tact, and discretion.
  • General understanding of FBIT graduate program topics including IT security, AI, analytics, computer science and business
  • Willing and able to work flexible hours to meet deadlines and to attend evening or weekend events and activities.

Education

  • Completion of post-secondary education or equivalent combination of education and experience.
  • Verification of Academic credentials may be required Required Experience
  • 1 to 3 years of related successful experience in a university environment
