This is a long-term role, expected to last 1-2+ years, with potential for permanent hire. It is starting remotely, but eventually will move to either onsite or a hybrid remote/onsite environment. Excellent benefits are offered!

Compensation: $30-$32/hr. + benefits

Hours: Full-time, M-F

SUMMARY:

In this role, you would be responsible for managing the flow of contingent workers into and out of the organization in accordance with predefined pre-clearance, on-boarding, and off-boarding activities and SLAs. You would monitor the successful completion of background and medical check clearances, start date management, coordination of handoff for building and system access, proactive end date management, off-boarding and the on-time removal of site/systems access and asset retrieval at the end of each assignment.

JOB DUTIES:

  • Exhibits professionalism and maintains company core values
  • Provides superior and consultative client service support to all internal users and external suppliers
  • Answers calls to the Contingent Workforce hotline and works expeditiously to process all inquiries and requests
  • Responds to emails in internal and external mailboxes to process all inquiries and requests
  • Train Suppliers and users on the use of Beeline, on/off-boarding practices, and documentation requirements
  • Conducts basic intake of contingent workforce HR matters and provides case summary to Program Manager
  • Responds to inquiries about contingent employee policy/practices, as guided by the Program Manager
  • Works closely and collaboratively across departments to triage user issues and provide timely solutions

Operations and Administration:

  • Provides direct support to the business for on-boarding, data changes, and off-boarding of contingent workers
  • Performs Beeline record management (request entry, approvals, data changes and extensions, and terminations)
  • Monitors the flow of downstream transactions for badge provisioning and IT access/asset requests
  • Ensures all pre-clearance and pre-onboarding steps are met according to policy (medical/background check)
  • Escalates pre-clearance failures to the Program Manager
  • Performs start date management, coordinates closely with all parties, and works through issues/exception handling
  • Conducts regular end date management, runs reports, follows up with Manager and Supplier, updates Beeline
  • Supports worker off-boarding including end date coordination, sensitivity monitoring, and asset collection guidance
  • Responsible for executing planned and emergency after-hours offboarding activities in a safe and compliant manner
  • Assist Program Manager with onsite terminations in exceptional circumstances
  • Coordinates asset collection with suppliers for remote workers and sensitive situations
  • Monitors tenure limits, guiding the business and escalating to Program Manager as needed for assistance
  • Supports the on-boarding and training of new suppliers including Beeline training and user/role management
  • Maintains in-depth understanding of all on/off-boarding policy, able to educate users and troubleshoot stoppages
  • Responds to requests for reports and analytics, working with the Data Analyst and Program Manager to execute
  • In EU locations, respond to requests from Contingent Workers to have their data deleted and/or transferred
  • Supports requests for information for internal and external audits, as guided by the Program Manager
  • May participate in the Supplier Audit process as requested by the Contingent Workforce Program Director

Technical:

  • Works in Beeline, MS Word, MS Excel, MS PowerPoint, and MS Outlook as needed to perform essential duties
  • Performs filters and VLOOKUP’s in excel worksheets to triage and map non-employee data and IDs across systems Date:

JOB REQUIREMENTS:

  • 5+ years’ professional work experience
  • 3+ years’ experience in a “front facing” Human Resource or Talent Management Position
  • Previous experience working in a VMS or HRIS tool; Beeline experience preferred
  • Able to manage high volume of transactions under tight deadlines with multiple stakeholders
  • Excellent written and verbal communication skills, able to convey urgency in a professional manner, and work with individuals at all levels of the organization
  • Highly organized, able to multitask under pressure, and change priorities regularly
  • Leadership, organization, and stakeholder management skills
  • Must possess critical thinking and problem-solving skills
  • Understands proper escalation pathways and triggers
  • Prior experience in a life sciences industry is a plus
  • Bachelor’s degree required; in business administration, human resources or related field
