The Markets PMO is seeking a professional PMO Project Analyst / Administrator to provide exceptional support while building strong business relationships internally and cross-functionally through the following key responsibilities:
- Clarity / PPM Tool Administration:
o Administer the Clarity and SharePoint PPM tools for the Markets Group including managing the list of active users and projects, ascertaining data quality through periodic reviews with resource and project managers, and supporting applicable audits o Serve as the Group’s liaison to the Clarity / FedPPM community on project and resource management best practices
o Proactively identify and implement processes to improve workflow, organization and communication
- Project Portfolio Planning, Status Reporting and Performance Analysis:
o Collect, generate, and compile project status reports into a cohesive reporting portfolio package
o Generate, analyze, and report on PMO project success metrics including analysis of KPIs, key themes and trends and preparation of charts, tables, graphs and other presentation materials to support this and other functional work
o Coordinate demand in-take and capacity planning, including capturing estimates and performing waterline analysis
- Project Management Support:
o Proofread functionally specific materials for accuracy, including copy, grammar and layout, and make appropriate edits
o Provide support to senior project managers with administrative aspects of their projects, including developing, maintaining, and organizing project artifacts
o Drive priorities and manage schedules; prepare project manager for meetings and appointments; pre-review meeting materials for quality and take action on the project manager’s behalf when appropriate
o Coordinate projects, or phases of complex projects, that support department or functional initiatives to ensure that expected results are achieved within the specified timeframe and budget, including related correspondence and vendor agreements
o Independently manage all aspects of less complex projects including active management of related risks and issues
Quals–
The ideal candidate would have the following qualifications:
- Bachelor’s degree
- Minimum of 3 years of project management experience with excellent track record of related skills, including tracking and reporting
- Position requires individual that is independent, has high energy/enthusiasm and the ability to apply critical thinking to analyze/solve problems and identify opportunities
- Strong analytical and organizational skills
- Excellent written and verbal communications skills; must be able to convey complex concepts in a clear and concise manner
- Strong proficiency with Microsoft Office, particularly Excel (including pivot and charting functionality), Word, PowerPoint, SharePoint, Project and willingness to learn other tools; experience with Clarity PPM is a strong plus
- Capability and experience to handle the outlined responsibilities
- Ability to prioritize and handle multiple competing tasks
- Must be self-directed, motivated, highly accountable, flexible, well-organized and detail-oriented
- Professional demeanor and ability to communicate and interface effectively with other functions and all levels of the organization
- Ability to work with confidential and sensitive non-public information with a high level of professionalism and composure
- Efficient, yet with a keen eye for detail and accuracy
- Ability to multi-task time-sensitive projects, with a strong work ethic and flexible, proactive approach
- Strong interpersonal skills
- Previous experience working in a fast-paced, high-volume, deadline-oriented environment
- Must be a self-starter with a “can do ” attitude
- Proven organizational, interpersonal and customer relationship skills strongly preferred
- Ability to apply knowledge of multi-disciplinary business principles and practices to achieve successful outcomes in cross-functional projects and activities
- Ability to set priorities, meet deadlines and manage multiple projects in a fast-paced, changing environment
- Ability to make recommendations on changes in approach, concepts and the design of solutions as a team member
- Ability to work independently and make decisions with minimal supervision
- Ability to build relationships cross-functionally
- Ability to deliver excellent customer service
- Knowledge of general office administration, procedures and equipment
Expected salary: $35.71 – 62.06 per hour
