Purpose:
REFORM seeks an experienced and mission-driven individual with a “roll-up-your-sleeves” attitude to serve as our IT Coordinator as a member of the organization’s Administration Team. This is a full-time position focused on managing facilities and IT operations in our New York and Washington DC offices. The IT coordinator will work closely and collaboratively with all of the staff at REFORM and be supervised by the Chief Financial Officer.
The Administrative Coordinator’s main role is to take direction from the CFO in order to maintain daily office operations. This may involve the responsibilities listed below and/or other tasks and responsibilities as directed by the CFO. REFORM’s stakeholders, including its Board members, guests, and employees, are very important to REFORM’s identity and success. The Coordinator ensures these stakeholders have a consistent, smooth, and positive experience and impression of REFORM.
Responsibilities:
- Help management to maintain daily office operations. Serve as a point person for staff for anything related to office systems, including building-related logistics, IT support & supplies requests.
- Assist HR with employee onboarding; provision workstations for new employees; ensure new employees are set up on printers and with vendors, have keys or access cards as applicable; order business cards.
- Deployment of new software on employee workstations via scripts or scheduled tasks in REFORM’s mobile device management system.
- Lead and facilitate projects that focus on new software or tasks asked by the administrative team.
- Represent REFORM, often as the first point of contact. Register and greet guests and ensure a positive guest experience.
- Administrate online accounts – Emails, Meraki Mobile device management, Vmware Carbon Black, Cisco Umbrella, Zoom, et al. – Assign (and remove) users where applicable, keep account payment method updated, keep active user lists current, help to troubleshoot user issues.
- Prepare meeting room technology in advance to ensure smooth internal and external meetings. Take appropriate steps to ensure teleconferencing and video conferencing run smoothly. Assist staff with sending meeting invitations for sensitive or tech-focused meetings.
- Collaborate across functions to help plan and execute events and initiatives as requested.
- IT Support relating to technical issues involving Microsoft’s core business applications and Operating Systems and Google Workspace.
- Onsite and Remote user support, this position may involve travel to our Washington, DC office.
- Oversee the remote monitoring and management system alerts and notifications to provide proactive system maintenance – respond accordingly through service tickets or looping in external vendors.
- Regular documentation entry and review.
- Communication with staff as required: keeping them informed of incident progress, notifying them of impending changes, and agreed on outages.
Preferred qualifications:
- 3 – 5 years of related experience.
- Take initiative to solve problems independently, creatively, and appropriately (to be as effective as possible, entry-level administrators need to make decisions and deal with issues without requiring input from others, and exercise judgment regarding when to seek feedback).
- Effectively and respectfully communicate with internal and external stakeholders in a variety of different formats.
- Able to multitask and quickly shift tasks to complete a variety of menial duties without letting things fall through the cracks and without requiring reminders from managers
- A can-do attitude and no ego.
- Extremely punctual and proactive.
- Remember key details as multiple people make verbal, hand-written, text, emailed and other requests throughout the day.
