Job title: Financial Administrator

Job description: The Financial Administrator is responsible for financial reporting, bookkeeping, accounting activities, Payroll and teaching Contracts for Visual Arts Mississauga (VAM), and for supporting annual budget (1 million) preparation and forecasting, as well as assistance with the preparation of grant applications. The incumbent also provides back-up to the Customer Service.
ACCOUNTABILITIES
Maintain Finance Database (QuickBooks) accurately
Record daily revenues from all sources (student registration, memberships, rentals, exhibitions, school programs, birthday parties, etc.) and send receipts to customers;
Perform daily reconciliations of revenue receipts to POS closings;
Manage Accounts Receivable by issuing invoices and following up on outstanding invoices;
Manage Accounts Payable by preparing weekly cheques or online payments for authorized signing;
Make bank deposits (weekly, daily, or as necessary);
Pay government liabilities (payroll remittances and WSIB monthly, HST quarterly);
Process payroll bi-weekly (Telpay);
Maintain accurate employee records and pay rates;
Ensure the accuracy of employee benefits information and deductions;
Issue Record of Employment and/or any other documents as necessary;
Prepare monthly management reports for the ED and Finance Committee;
Make monthly allocations of costs of classes and revenues;
Make GL journal entries for monthly Accruals and Prepaids such as operational fixed costs, insurance, equipment rentals, etc.;
Provide analytics of revenues and expenditures;
Participate in monthly Finance Committee meetings;
Assist with annual budget preparation and forecasting;
Assist with the preparation of grant applications;
Track grant revenues and reporting;
Provide back-up to the customer service function by covering the front desk during breaks, assisting with answering phones, processing registration payments/refunds, addressing customer enquiries, assisting with annual events, etc.;
Complete year end closings
Issue T4/T4As to employees; prepare and file T4/T4A summaries with CRA; complete WSIB year end reconciliation;
Prepare all records for auditors and provide any further information required for the annual audit;
Regularly review and update Financial Processes and Controls with Executive Director to ensure they are relevant.
New hire package – provide new employees with new hire package. Ensure all documents are correctly completed and returned by the new employee.
Maintain AODA, VSS, Health/Safety records for teaching staff.
Staff orientation – participate in instructor orientation meetings and communicate all payroll related requirements.
Issue Teaching Contracts each term for each course.
Ensure all contracts are signed and received.
Provide input for pricing of VAM courses & services.
Perform other work as required.
Requirements: Bachelor of Business or Commerce degree, or an equivalent combination of education and experience, PCP designation an asset
2-3 years related experience in finance, accounting, payroll, financial reporting and CRA compliance
Excellent written and oral communication skills
Proficiency in the use of MS Office, Quick Books, Telpay and related software
WORKING CONDITIONS
The incumbent works most of the time in a comfortable indoor setting with few physical demands. Working from home a portion of each week is possible. Visual concentration is required much of the time, as is sufficient manual dexterity in order to operate computers and other office equipment.
In accordance with VAM’s policy and as a condition of employment, the successful candidate will be required to pass a satisfactory Police Vulnerable Sector Screening Check.

Expected salary: $50000 – 55000 per year
