Job description: Living Architecture Systems Group (LASG), Philip Beesley Studio Inc. (PBSI) and Riverside Architectural Press are seeking a part-time executive financial administrator to oversee the financial administration of an interdisciplinary team composed of researchers, designers and engineers. The Executive Finance Administrator would work directly with the part-time Comptroller for the group, while working in cooperation with other members of the executive team. Growth and increased responsibility can occur as this position evolves.
LASG, PBSI and RAP are closely associated and are led by a unified executive group. The studio consists of a small group of highly motivated, positive, creative individual working in art, experimental design, and engineering. The combined groups are closely associated with School of Architecture at the University of Waterloo and with Philip Beesley’s research and teaching. Studio revenues are drawn from combinations of academic research, cultural industries including museums, galleries and public art, and private-sector installations. The position is ideal for a highly sociable, organized, energetic individual interested in visual art, architecture and experimental design.
Executive Finance Administrator Responsibilities:
- Working within a small executive group including principal, comptroller, development/operations director, and design and engineering leads, cooperatively sharing evolving work.
- Managing accounts with academic research funds, international cultural institutions and non-profit groups, and revenue-based accounts for exhibition and design work.
- Managing project budgets and status monitors, integrating time and expense records coordinated with project budgets.
- Working with project managers in maintenance of project accounts, processing invoices, collecting of receivables and account problem resolutions. Assisting comptroller with QuickBooks entries including expense bookkeeping, payroll and employee time records maintenance.
- Researching and administering government grant subsidies and tax incentives programs, accessing specialists or consultants as necessary.
- Supporting Research coordinator in preparing grant proposals and grant reports. Communicating with a wide range of project contacts including senior corporate and institutional representatives.
- Maintaining University research accounts, including communications with University administrators and faculty researchers.
- Developing annual operating budget (in consultation with Project Director). Present regular financial projections to the Steering Committee.
- Sharing in front-of-house duties Assist in maintaining IT and network operations.
Requirements: Qualifications
The ideal candidate will:
- Have experience working with both commercial, academic and non-profit accounts and an understanding of their respective requirements.
- Hold a BCom degree or equivalent with financial accounting experience
- Be skilled in Windows Office suite and Quickbooks, including custom reporting forms
- Have excellent verbal and written communication, diplomacy and interpersonal skills, writing, editing and research skills
- Show a high degree of initiative
- Possess strong self-management and organization skills
- Having experience in an academic/arts organization/ business is an asset. Experience with government tax credit programs is not necessary but will be considered an asset
- Possessing an understanding of IT and network systems is an asset
- Having experience in Adobe Creative Suite is an asset
- Understanding of Microsoft Project (MSP) software is an asset (the studio is intending to implement MSP tracking)
