About the Organization:

Co-founded by the members of the JUNO-nominated Cecilia String Quartet and now in its 8th year, Xenia Concerts Inc. is a registered charity devoted to creating accessible music and arts events for people and communities who experience barriers at traditional events. The organization is mostly known for the creation and ongoing direction of a sensory-friendly concert series presented at Meridian Hall (Toronto) that welcomes neurodiverse audience members to enjoy live music in an inclusive and accessible environment. Featured artists have included internationally acclaimed Canadian musicians such as Ensemble Made in Canada, The Rolston String Quartet, and TorQ Percussion Quartet. Xenia has also developed initiatives to address arts accessibility issues experienced by other populations, initiatives which have led to partnerships with organizations such as the Alzheimer’s Society of Toronto and Baycrest Centre. Although most Xenia events take place in Toronto, Xenia has staged events in other cities in both Ontario and Alberta. While Xenia is currently focused on musical presentations, Xenia plans to expand into other artistic disciplines such as dance and inter-disciplinary arts.

The Position:

Reporting to the Board of Directors, the Executive and Artistic Director is responsible for the successful leadership and management of the organization. This includes overseeing the core administration of the organization and spearheading efforts to attract new funders, as well as conceiving, developing, and implementing the artistic vision and focus of the organization. The Executive and Artistic Director is also responsible for major decisions about the ongoing development of the organization’s aesthetic values and activities according to the strategic direction set by the Board of Directors.

The Executive and Artistic Director leads and mentors employees of the organization, creating a safe, equitable, empowering, and inclusive workplace while actively fostering diversity and leadership.

Responsibilities

Leadership

  • Act as the spokesperson for Xenia Concerts Inc. via speaking engagements, public and social appearances, in media interviews, and at other events as requested.
  • Develop and execute long-term strategic direction for the organization, in partnership with the Board.
  • Oversee the core administration of Xenia, including the maintenance of accurate records, and compliance with CRA requirements and government policies.
  • Manage working relationships with the Xenia staff, the Xenia Board of Directors, and Board sub-committees.
  • Advise the Board, on a scheduled and as-needed basis, on all aspects of the organization’s activities and engage experts to assess and report on the organization’s activities, as appropriate.
  • Establish good working relationships and collaborative arrangements with artists, community groups, funders, politicians, and other individuals/organizations to help achieve the goals of the organization.
  • Communicate with stakeholders to keep them informed of the work of the organization and to identify changes in the communities served by the organization.

Artistic Planning

  • Engage with community organizations to identify gaps in arts accessibility, and devise programming (in conjunction with the community organizations) to close those gaps.
  • Curate Xenia concert offerings for each season.
  • Hire and evaluate guest artists.
  • Work with guest artists to develop programming that is artistically robust, accessible, and appropriately designed for Xenia audience members.
  • Hire and supervise technical personnel, as needed.
  • Develop large-scale accessible arts projects that may be implemented across multiple seasons.
  • Foster the development of collaborative partnerships and mutually benefiting relations with other organizations (artistic or otherwise) by participating in their events, meetings, and joint activities where appropriate.
  • Advance the profile of Xenia beyond Ontario, as a nationally representative program.

Fundraising

  • Oversee the development and execution of all fundraising strategies, including annual campaigns and project/program-specific campaigns.
  • Research, identify, cultivate, and solicit new sources of funding; develop innovative ways of finding and developing new donor streams.
  • Prepare and secure grants (government and private sector).
  • Build and maintain long-term relationships with funders and established funding agencies.

Operational Planning and Management

  • Oversee the efficient and effective day-to-day operations of the organization.
  • Draft policies for the approval of the Board and prepare procedures to implement organizational policies; review existing policies on an annual basis and recommend changes to the Board, as appropriate.
  • Liaise with relevant governmental and community funding agencies and private sector granting departments.
  • Identify, assess, and inform the Board of Directors of internal and external issues that affect the organization.
  • Provide support to the Board by working with the Chair, Secretary, and Treasurer in preparing meeting agendas and supporting materials.
  • Develop methods for measuring and presenting Xenia’s success metrics that can be leveraged in fundraising endeavours.
  • Identify to the Board of Directors potentially suitable candidates for Board consideration of invitation to the Board of Xenia Concerts Inc.

Program Administration

  • Oversee the planning, implementation, execution, and ongoing evaluation of programs and special projects and provide regular reporting on these activities to the Board.
  • Ensure that the programs and services offered by the organization support and contribute to the organization’s mission and charitable objects, and reflect the priorities of the Board.
  • Devise ways to align and integrate the organization’s live arts offerings with new and emerging technology in a manner that validates, enhances and advances the value of live arts in today’s society.

Financial Planning

  • Prepare comprehensive budgets and other financial statements for approval by the Board.
  • Approve expenditures within the authority delegated by the Board.
  • Provide the Board with comprehensive, regular reports on the revenues and expenditure of the organization.
  • Ensure that sound bookkeeping and accounting procedures are followed.
  • Work with Xenia’s accountants to prepare the year end’s audited financial statement.
  • Ensure compliance with CRA reporting requirements.

Human Resources Planning and Management

  • Determine staffing and volunteer requirements for organizational management and program delivery and oversee the orientation and training of all staff and volunteers.
  • Oversee the implementation of the human resource policies, procedures, and practices including the development of job descriptions for all staff.
  • Establish a positive, healthy, and safe work environment in accordance with all appropriate legislation and regulations.
  • Implement a performance management process for all staff members, which includes monitoring the performance of staff on an on-going basis and conducting annual performance reviews.

Accounting, bookkeeping, and budget management skills (knowledge of QuickBooks is an asset)
Strong computer skills (PC): Microsoft Office Suite (Word/Excel/Publisher), Adobe, Google Docs, Dropbox, WordPress
Social Media fluency across relevant platforms
Self-motivated with an ability to multi-task and prioritize
Ability to develop and manage timelines and meet deadlines
Ability to work independently and also work well on a small team
Professional proficiency in both English and French is desirable
Open-minded, and enthusiastic working with diverse communities

Additional Info: This is a full-time position requiring an average of 40 hours of work per week, but work hours per week will vary depending on what events are upcoming. As Xenia Concerts Inc. does not maintain an independent office, the Executive and Artistic Director will be expected to operate primarily from their home and use their own home office and equipment (including computer, cell phone, and internet) without compensation. Most work can be done weekdays between 9 am and 5 pm, but occasionally the position will require evening and weekend work at concert and event venues. When the organization embarks on special projects that take place outside of the Greater Toronto Area, some travel may be required, and the Executive and Artistic Director will be reimbursed for mileage and other costs associated with this travel. Travel costs within the Greater Toronto Area will not be reimbursed.

The ideal candidate will have experience in leadership roles in the arts, culture, and / or non-profit sector, and will have a track record of fundraising successes. Candidates should have demonstrated success building and growing relationships and demonstrated ability to create a positive, inclusive work environment.

The Executive and Artistic Director is expected to attend all or most of the organization’s events and represent the organization in a positive and professional manner. A valid driver’s license is required and access to a vehicle is an asset. Prior experience in theatre/venue management and event presentation is an asset. Due to role requirements and exposure to vulnerable communities, the successful candidate will be required to pass a Vulnerable Sector Screening.

The Executive and Artistic Director will be expected to attend monthly Board Meetings and special meetings of the Board, when requested.
