Position Overview
The Donor Services Coordinator (DSC) is an integral member of the Foundation’s team focused on providing the highest level of service and support for the Foundation’s Donor Advised Fund (DAF) program. The DSC works closely with the Donor Services Manager (DSM), Chief Operating Officer, and Finance Manager to lead administrative and systems management support, while guiding donor advisors in achieving their charitable giving goals.
This is a full-time, non-exempt position based in Brooklyn and reports to the Donor Services Manager.
Responsibilities
The responsibilities of the Donor Services Coordinator include but are not limited to:
Donor Advised Fund (DAF) Operations
- Communications: Serve as main point of contact for current and prospective fund holders with inquiries about the Foundation’s DAF program and assistance with their charitable giving goals
- Marketing & Outreach: Support the DSM, Development, and Communications teams in the preparation and dissemination of marketing and promotional materials (both in-print and online) about the Foundation’s DAF program to target markets and constituencies
- Data Management: Record and maintain all contributions and grants records, utilizing the Foundation’s Salesforce database and fund management platforms.This will include: generating and sending weekly Salesforce and other platform reports; supporting our DAF team on monthly/quarterly financial reconciliations; coordinating with our third party vendor to resolve donor management; and contacting donors to maintain guardianship of donor intent.
- Donor Acknowledgment: Draft and issue timely donor acknowledgments and grantee award letters, as needed
- Systems Improvement: Work with COO, Donor Services Manager, and Foundation Associate to improve departmental workflows, enhance accessibility and user functionality of donor portal, and maintain fund documents. This will include an explicit focus on upgrading our donor portal processes so that we are better able to track how our DAF grants align with BCF’s values and racial justice grantmaking efforts.
General Development
- Support planning and coordination of virtual and in-person donor events (once such events are able to be safely reinstated following COVID-19)
- Coordinate with appropriate Development team members to ensure accuracy and intended donor intent of our DAF contributions
Organizational Leadership
- Participate actively in BCF’s cross-departmental racial equity working groups
- Contribute emerging ideas, address challenges, and problem-solve solutions to team and during all-staff meeting discussions
Abilities and Competencies
- High level of personal and professional integrity; discretion in working with confidential information
- Ability to work both independently and as a part of a collaborative team; to take both initiative and direction
- Keen attention to detail and organizational skills
- Ability to apply creative problem solving and troubleshoot challenges as they arise
- Excellent written and verbal communication skills with a broad range of constituents
- Some familiarity with nonprofits, including grant-making organizations, charitable giving funds, and/or fiscal sponsorships
Qualifications
- 1+ years of relevant development and/or administrative experience
- Experience communicating with high-level stakeholders about their inquiries
- Proficiency in Salesforce and/or CRM tools, a major plus
- Passionate about creating opportunities for Brooklyn’s residents; knowledge of Brooklyn nonprofits a plus
- Commitment to the Foundation’s racial equity focus and core values
Additional Information
Due to the coronavirus pandemic, the Donor Services Coordinator will be a remote position through September 2021, and interviews will be conducted via Zoom. The Foundation plans to resume in-person operations when it is safe to do so, and the position will then be based in the Foundation’s office in Crown Heights, Brooklyn. BCF will provide at least one month of advance notice before the return to in-office operations.
Salary range: $45,000 – $50,000 annually
