Our client is a large reputable Financial Services firm with over $100B AUM headquartered in Los Angeles with a location in New York, NY. They are seeking for a Driven Associate or Analyst, Client & Account Administration who will be joining their Client Services Team in New York.

Normal Work Hours: 8:00 a.m. – 5:00 p.m., with flexibility needed for overtime
Responsibilities:
Based in New York City, the Administrator role comprises a broad list of administrative and facilities-related duties including but not limited to the following:
- Lead all regional functions of corporate event planning such as Our Communities Matter programs, employee communications, and special initiatives;
- Manage New York emergency preparedness functions (business continuity, emergency response/fire safety)
- Purchasing items, processing invoices and updating budgets;
- Working with VP to perform budget related tasks;
- Act as liaison and coordinator for departments not represented in the NY office; work with the departments to book meeting rooms, order food, manage guest clearances and other related tasks;
- Perform tasks for new hires such as editing and cropping photos, updating floor plans, updating seat code, and posting name tags;
- Lead and monitor reduce, reuse, recycle initiatives programs; ensure NYC laws are being met in the office;
- Creating, scheduling and managing food orders to include vendor relationships, new supplier sourcing, quarterly feedback and any reporting;
- Assist with handling facilities requests with building management for comfort cooling & heating, and any other as it relates to the function of the space;
- Back-fill for Receptionist, providing relief for breaks, lunch and when necessary;
- Setting up and maintaining conference rooms for meetings, including drinks, lunches and clearing after use;
- Assist with ordering and tracking kitchen, office supplies, groceries and placing orders when necessary;
- Maintaining a neat and clean office; and
- Performing other tasks as needed.
Qualifications
- Bachelor’s degree in Business Administration or similar/related field required.
- 5+ years of experience in an Administrative role, preferably within a professional firm;
- Background in establishing and maintaining vendor relationships, knowledge of food and restaurant industry related to pricing;
- Strong negotiation skills with the ability to be fair;
- Proven ability to manage tasks with competing priorities and deadlines, independently determining order of priority and self-initiating other value-added tasks; and
- Intermediate to advanced proficiency in Excel skills, including pivot tables.
- Strong working knowledge of office applications, including Microsoft Word and Outlook; Adobe Photoshop and Publisher strongly preferred.

Expected salary: $115000 per year
