Job title: Clerical Assistant In Patient Nursing Resource Team

Job description: The Nursing Resource Team (NRT) is a new and innovative team that will have a presence in patient care settings across the hospital. Reporting to the Clinical Leader Manager (CLM) of the NRT, the Clerical Assistant will provide administrative support to the NRT Office. In this role, the Clerical Assistant will be an integral part of the Nursing Resource Team, ensuring optimal departmental operations, and progression towards departmental goals.
RESPONSIBILITIES:
- Provide professional and personable customer service as first contact by phone, in person and electronically for staff, patients, and visitors
- Interact with multiple stakeholders such as managers, administrative staff, and nurses from all programs and departments working with the NRT
- Perform reception duties which include booking staff; answering the telephone and taking messages; Re-direct all other inquiries as appropriate; Re-schedule/ re-assign staff as necessary in consultation with management.
- Enter data for statistics; generate and share staffing status reports as necessary
- Perform other clerical duties such as photocopying; faxing; and mailings; orders and maintains inventory of supplies and equipment
- Maintains files and staff database summaries for training and certification
- Continuously seeks opportunities for quality improvement to ensure optimal departmental operations
- Any other responsibilities as requested by the Manager
QUALIFICATIONS:
- Graduate of a recognized Office Administration program or equivalent
- Recent NRT Administrative/Clerical experience preferred
- Recent Scheduling experience preferred
- Must be proficient in Microsoft Word, Excel, PowerPoint, Outlook, ADT, Soarian schedulingExcellent verbal and written communication skillsPayroll experience preferred
- Flexibility in rotating job assignments
- Good judgment and discretion
- Work well under pressure
- Highly organized and efficient time manager
- Ability to work independently and to manage competing workloads
- Demonstrated initiative and is a self-starter.
- Demonstrated ability to problem solve and multi-task in a busy environment
- Demonstrated ability to work co-operatively in a team environment
- Knowledge of medical terminology would be a definite asset
- Demonstrated commitment to providing exceptional customer service
- Must have excellent attendance/punctuality record
Expected hours of work: 4 to 12 hour shifts (5:30am to 9:30am or 4:30pm to 8:30pm) scheduled throughout the week (including weekends). Needs to be flexible as the department matures (i.e. must be willing to change hours of work if necessary with advanced notice). Shifts are subject to change based on departmental needs.

Expected salary: $23 – 27.46 per hour
