Role Overview

The Business Manager is responsible to oversee the organization’s bookkeeping and human resources functions. This Is a gateway role into that of a Comptroller. In addition to the technical skills required, the Business Manager is entrepreneurial, intellectually curious and stimulated by change and growth, not scared off. Highly organized with a keen attention to detail, the Business Manager directs and coordinates the accounting functions of the organization, including day-to-day transaction processing, month-end reconciling, payroll and expense management. More importantly, the role works as a key thought partner to the Chief Financial Officer in terms of installing the infrastructure needed to grow the organization. This is a full-time position with greater workload during the academic year and lighter hours during the summer and other school breaks. Hillel Ontario is a team-oriented, collaborative and highly flexible work environment; some evening and weekend hours will be necessary to support special programs and/or projects and fundraising events.

Reports To: Chief Financial Officer

Key Responsibilities

  • Using Quickbooks, manage all transactions processing, Including payables, receivables and journalizing
  • Maintain and where appropriate, upgrade appropriate financial controls and policies across the organization
  • Supervise, and work with team leads to manage monthly expense reporting through Expensify
  • Identify areas to improve internal processes and systems and then implement as required
  • Prepare Letters of Offer, manage reference and background checks and liaise with Hillel International’s Talent department
  • Post vacancies as requested to a variety of online locations, including universities, professional associations, community organizations, Hillel International and career websites
  • Support on-boarding of new staff
  • Manage logistics and planning of internal orientation and training days
  • Run payroll and manage records of personnel data including vacation and sick day tracking, staff birthdays and contact info, benefits, etc.
  • Real Estate: ensure that tenants’ monthly payments are remitted on time
  • IT: assistance with the management of systems, including computers, phones, voice mail, copy machines, vendor management, leasing, purchasing and maintenance
  • Logistics resources: oversight of contacts with vendors, food suppliers, office supplies, and overall logistics resource for large event/program planning
  • Provide support to the Senior Leadership Team as required
  • Provide logistical and stewardship support to Hillel Ontario’s Board of Directors and Board of Governors
  • Other responsibilities and ad-hoc projects (ex. annual audit) as determined by the Chief Financial Officer

  • Bachelor’s degree and/or 0-2 years relevant experience
  • Strong interpersonal skills and the desire to work in a collaborative, team environment
  • Ability to multi-task and troubleshoot effectively
  • Clear and effective verbal and written communication skills
