Job title: Bookkeeper / Administrative Assistant

Job description: Reporting to the Executive Coordinator and working closely with the Treasurer, the Lake of Bays Association’s Bookkeeper/Administrative Assistant is responsible for providing bookkeeping and administrative support to the Association. This is a part time, independent contract position, working from home.
Skills:
- Bookkeeping/Accounting certification/designation or equivalent.
- Proficiency with accounting software, preferably Sage 50.
- Proficiency with database software, preferably Filemaker Pro.
- Proficiency with Word and Excel software.
- Demonstrated ability to work independently.
Duties:
Bookkeeping
- Process, record and track membership payments (PayPal, credit cards, cheques, cash).
- Process, record and track donations.
- Prepare invoices and record payments for advertising.
- Prepare payments for approved invoices.
- Prepare and make bank deposits.
- Prepare quarterly HST payments and annual filing.
- Make monthly and annual journal entries as required.
- Monthly reconciliation of General Ledger and bank accounts.
- Prepare month-end and year-end statements and supporting files for Treasurer.
- Maintain information throughout the year for auditors’ file.
Database Management
- Track and record membership payments, donations and other member information.
- Ensure all database information is up to date and accurate.
- Generate reports as needed for Executive Coordinator, Treasurer, Membership chair and others.
- Ensure database and General Ledger balance monthly.
- Regularly update Constant Contact with member information.
- Prepare Action Fund and membership lists for yearbook.
Administration
- Maintain spreadsheets for yearbook advertising.
- Respond to member inquiries.
- Coordinate materials for inclusion in and arrange delivery of Welcome Packages.
- Communicate with Area Stewards on membership information.
- Work with Executive Coordinator and Membership committee to send out renewal mailings.
- Other administrative assistance to the Executive Coordinator as needed.
Remuneration: $1035/month for an average of 35-45 hours/month. Some times of year are more time-consuming than others.
