Welcome to the Department of Geography, Geomatics and Environment University of Toronto Mississauga. Under the general supervision of the Department Manager and day-to-day direction of the Chair, the Assistant to the Chair is responsible for providing a full range of confidential secretarial and administrative support to ensure the efficient operations of the Chair’s office including but not limited to academic processes for searches, reviews, tenures, promotions, PTR, and research and study leaves, and managing all aspects of an intensive appointment schedule.

Your responsibilities will include:

  • Implementing plans and process improvements for academic search activities
  • Coordinating the tenure, promotion, continuing and sessional lecturer review processes
  • Determining logistical details and activities for events and/or programming
  • Keeping well-informed on leadership commitments and priorities
  • Serving as a resource to others by providing (non-supervisory) job-related guidance
  • Drafting internal and external communications

Essential Qualifications:

  • Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
  • Minimum three years of recent and relevant experience in providing academic support with academic searches, tenure, promotion, faculty and sessional lecturer review processes and other related activities.
  • Familiarity with collective agreements (CUPE 3902 Unit 1 and Unit 3).
  • Experience in a university setting with knowledge of academic procedures and policies as well as guidelines and practices.
  • Experience providing senior level administrative support including coordinating meeting schedules, preparing itineraries and scheduling travel plans.
  • Experience drafting, editing and preparing a variety of internal and external written communications.
  • Computer proficiency in MS Office applications (Excel, Word, PowerPoint and Outlook).
  • Experience in webpage maintenance and social media.
  • Experience with SuccessFactors or comparable hiring platform.
  • Highly service-oriented with a genuine commitment to fulfill the department’s mission and to offer quality service while fostering positive working relationships with all areas of the University.
  • Excellent organizational, verbal and written communication skills.
  • Ability to multi-task and deal effectively with competing priorities.
