Job Qualifications:

We are seeking an Office Construction Administrator who is super strong on the phones and can multi-task a lot of key admin roles in our office. This role will include being the first point of contact for our new customers and support our present sales and field staff in fulfilling their duties.

Please note, although we foster a very positive work environment, because we are in the construction industry, a thick skin and ability to deal with tradespersons and difficult clients are a necessity.

Also please note, although this is a 40-44 hour a week job, this is NOT a typical Monday to Friday 9 am to 5 pm job. You will be likely asked to work some evenings up to 9 pm, and random weekends regularly in order to fulfill the job requirements. So if you have personal commitments that require a strict 9 am to 5pm regiment, this job unfortunately will not be for you.

RESPONSIBILITIES:

The first point of contact for incoming customer inquiries

Flexible schedule to work on weekends.

Available on the phone in late hours when required.

Build trust and rapport with clients, listen and gather project requirements

Processing Contracts, processing deposits, drafting work orders, and other related administrative duties

Recruit and screen new applicants for various roles in our company

Working on warm leads, following up and securing appointments for the sales team

Scheduling calendar appointments for the sales team

Scheduling and dispatch jobs to painters as needed

CRM management and client updating as needed

Computer and data entry management – any prior bookkeeping and job costing skills are a big bonus

FLEXIBLE time commitments to work some weeknights up to 9 pm and random weekends either a Saturday or Sunday as needed

QUALIFICATIONS:

Natural people skills, with the ability to easily connect and build trust

Ability to build rapport, persuade and influence in a matter of seconds of the first contact on the phone.

100% Self-starter

Super strong detail orientation

Must be tech-savvy and know their way around a computer and various software programs

Experience with Google Drive, Dropbox, Infusionsoft or related CRM software is a big plus strong communication skills, particularly via telephone

Excellent with customer service and dealing with client concerns

High organizational skills and strong multi-tasking ability

Ability to prioritize own workload and handle competing deadlines

Very strong computer skills

College degree preferred and 2-3 years experience in office administration

Worked in a small business for at least 2-3 years before

Familiarity with marketing automation is an asset

Knowledge of painting/trades/home renovation is an asset

Good knowledge of the GTA is an asset

This position will earn in the $30-40k range in the first year based on your experience and ability to execute on a daily basis.

Job Type: Full-time

Expected salary: $30000 – 40000 per year
