Job title: Administrative Assistant and Bookkeeper

Job description: Function as an Administrative Assistant for CEO of the company and senior staff.
- Generate reports for data analytics and analysis
- Coordinate shipping and receiving
- Manage a task list for senior staff and follow through on action list
- Coordinate some purchasing for the company
Work with the Head of Finance to perform various Bookkeeping roles
- Credit card reconciliation – Download credit card transactions, import to QBO, reconcile transactions against receipts, reconcile credit card statement in QBO
- Expense report verification – Insert expense reports generated with Expensify by employees to Bill.com and code expense reimbursements in Bill.com
- Purchase Order payment – Insert vendor invoices in Procurify, match approved Purchase Orders again vendor invoices, obtain approval in Procurify
- AP – Insert vendor invoices and approved Procurify POs to Bill.com, code expenses in Bill.com, obtain approval in Bill.com. Coordinate Bill.com and wire transfers
- AP reconciliation Resolve Bill.com sync errors before month-end close
- Payroll – Process USD and CAD payroll with ADP Run and ADP Canada
Requirements

- Attention to detail and follow through on assigned tasks
- Initiative to overcome challenges
- Strong and effective communication – verbal and written
- Strong interpersonal skills to be able to relate with people or personnel from different organizations of the company
- Excellent numerical, analytical, and problem-solving skills
- 3-5 years of experience with Microsoft Excel, QBO
- Ability to work in a team as well as an individual with little or no supervision
Benefits
This is a full-time temporary position without benefits for about 6 months with the possibility of becoming a full-time, regular position that includes benefits.
Expected salary: $40000 – 50000 per year
