Job title: Finance & HR Operations Officer (maternity leave cover, 12-18 months)

Job description: Responsibilities
Accounting
- Process accounts payable and receivable, prepare EFT, wire and cheque payments, and produce sponsorship and rental invoices
- Reconcile cash and merchant deposits against ticketing and donor management software reports, prepare journal entries to post all receivables to the general ledger
- Prepare a bank deposit every week, oversee cash floats for the front desk and petty cash.
- Advise the Visitor Services team on proper cash handling procedures.
- Support in the reconciliation of bank accounts and corporate credit card expenses
- Process payroll, prepare and distribute T4, T4a, ROEs, and ensure annual reporting for EHT, WSIB
- Prepare monthly budget reports for internal departments, liaise with those departments regarding reallocations and reclassifications, and assist the Director of Finance and Operations with cash flow forecasting
- Prepare financial reports for CADAC and other funders
- File HST return and WSIB monthly
- Prepare applications for government COVID-19 subsidies
- Assist with the annual audit process, liaise with external auditors
- Assist with the charity return and the annual report preparation
Human Resources
- Maintain and update staff HR profiles, process new hires, address inquiries regarding vacation and in-lieu time, timesheets and pay stubs
- Prepare employment contracts for new employees and facilitate onboarding
- Administer recruitment process including job board postings, interview scheduling and facilitation, and initial communication with candidates
Benefits & Insurance
- Administer employee benefit program
- Administer annual insurance renewal (commercial, fine art, directors & officers)
- Liaise with Programmes and Operations staff regarding any claims (commercial and fine art)
Requirements:
- 3-5 years of experience in finance with a not-for-profit charitable organization
- Minimum 3+ years of experience with bookkeeping in Quickbooks Online and managing payroll that includes salaried and hourly staff using a payroll processing platform (Ceridian Dayforce and PowerPay experience an asset)
- Practical experience in finance and operations-related activities at both transactional and organizational levels
- Competence in various software including Quickbooks Online, ApprovalMax, Asana, G-Suite, Microsoft Office Suite, Ceridian Dayforce, Ceridian PowerPay, Agile, Donor Perfect, Moneris/PaySafe, TaxCycle, HubDocs, Sassant, Paypal, Square
- Adeptness at switching seamlessly between Excel and Google Sheets
- Comfortable working in Microsoft Windows in a MacOS-based office
- Experience working with government agencies (CRA Business Window, HST, CEWS/CERS, CADAC, Charities Directorate, Ministry of Finance)
- Familiarity with online banking for business (Experience with BMO OLBB an asset)
- An understanding of the arts sector and an appreciation for the arts is an asset
Additional Info: This position will predominantly work from home but will be required to work from the Museum a minimum of 0.5 – 1 day per week to prepare deposits and other on-site financial tasks. MOCA’s office is currently operating on a hybrid work-from-home model, with employees working on-site as required based on their job function.
