Job title: Managing Director

Job description: We are accepting applications for the new position of Managing Director, a full-time one-year contract position (with potential for renewal). Reporting to the Artistic/Executive Director, the Managing Director will support Wavelength’s year-round programming and presence in the community, by implementing artistic plans and strategic priorities through sound operational planning and project management.
Wavelength effectively transitioned its programming to the digital sphere under COVID-19, and has done so with creativity, flexibility and compassion. With a new three-year Strategic Plan approved by the organization’s Board of Directors in fall 2020, this will be an exciting opportunity for an arts leader and music lover to help guide the organization through the transition back towards in-person programming when we are able to gather again.
Key areas of responsibility include, but are not limited to:
STRATEGY & PLANNING
- Translating strategic priorities into operational plans
- Implementing updates on approved Strategic Plan in collaboration with AD/ED
BOARD
- Leading Board administration, including AGM, scheduling, minutes, and legal filings.
- Ensuring positive Board relations, in collaboration with AD/ED
- Joining sub-committees as needed, eg. Finance, Executive, Marketing
ARTISTIC
- Collaborating with AD/ED on artistic planning
- Artist relations – in collaboration with AD/ED and PM
- Involvement in music sector – in collaboration with AD/ED
RESOURCE DEVELOPMENT
Government & Foundation funders:
- Project management on managing deadlines, reporting, overseeing submission needs, with input, narrative • and writing in collaboration with AD/ED.
- Seeking new granting opportunities
Fundraising (Private):
Work on strategy with AD/ED, oversee and coordinate proposals and submissions. Manage sponsorship stewardship and activation.
Earned Revenue:
- Lead on revenue modelling, set earned revenue targets for programming, create marketing strategies to meet revenue goals.
- Develop strategies for complementary revenue tactics such as: concessions, merch, F&B.
OPERATIONS / PRODUCTION
Programming and Production / Project Management:
- Programming: Oversee the Production Manager on advancing all events
- Production: Work with AD/ED on securing venues, handle venue contracts and additional tech needs as needed. Maintaining contacts with venues, suppliers
- Production Organizational Systems: Set up and implement systems and platforms, eg. festival management, box office/tickets, show info, data.
Operations:
- Ensuring timely and on-budget delivery of special projects – i.e. education, research, archives, etc.
ADMINISTRATION
Financial Management:
- Budget / forecasting: in collaboration with AD/ED, set annual budgets in accordance with programming plans and viable revenue, for submission to the Board for approval. Regular re-forecasting throughout the fiscal as needed
- Bookkeeping / reporting – oversee the bookkeeper, work with auditors, monitor cash flow, ensure financial policies for cash / disbursements are followed and proper reporting and records as required.
- Timely and accurate payment of all payables as well as the management and collection of all receivables.
- Ensure current on all government remittances and file all government reports and returns in a timely manner
Administration:
- Office management, general administration, insurance
- IT and Systems management – subscriptions, domains as needed
Human Resources:
- Ensure policies and procedures are in place for compliance and promotion of a healthy working environment.
- Recruit, contract, and supervise contract staff, interns, and summer students as needed.
- Create and maintain onboarding and training materials for new team members.
- Maintain personnel files; manage payroll, leaves, and benefits
COMMUNICATIONS
- Programmatic Marketing – in collaboration with the Editorial and Marketing Coordinator, setting tactics for advertising/PR, social media, digital, and other marketing channels for events and programs.
- Institutional Marketing – under the lead of AD/ED, ensure all communications are aligned with organization’s strategic goals.
- Draft reporting as required for external partners (funders, supporters, etc).
- CRM – source and implement CRM plan.
Requirements: • Minimum 5 years’ experience working in nonprofit arts management and/or music industry in a management role. (Education in arts management is an asset.)
- A passion for independent music, the arts and Toronto/Canadian culture
- Excellent verbal and written and communication skills in a professional environment, speaking across diverse communities and stakeholders
- Strong finance, budgeting and administration background; entrepreneurial and business-savvy
- A demonstrated sense of leadership, vision, collaboration and team-building, with strong interpersonal skills, ethics, integrity, flexibility, curiosity and creativity
- An in-depth understanding of municipal, provincial, federal funding bodies for music and the arts, with a track record of success in grant writing
- Knowledge of local, regional, and national independent music/arts communities.
- Experience and knowledge of concert/festival marketplace and event sponsorship market is an asset.
- Experience and knowledge of marketing and communications activities is an asset.
- Familiarity with fundraising strategies and campaigns is an asset.
- Proficiency in computer use, specifically Microsoft Office, G Suite, Quickbooks, and CRM/ticketing/festival management software (Mailchimp, WordPress, and Adobe Creative Suite are also assets)
- Ability to work in-person at Wavelength’s Toronto offices and be on-site for Wavelength productions, when safe to do so. Remote working will be accommodated for duration of the pandemic and may be discussed as an accommodation on an ongoing basis.
Expected salary: $50000 – 60000 per year
