Reporting to the Director of Clinical Training, Couple and Family Therapy Centre (CFTC), the incumbent will be principally accountable for: coordinating client intake, services, billing and reconciling payments; ensuring best practice and accreditation standards are maintained; and, supporting the coordination of service integration with Centre for Psychological Services (CPS).
The Client Services Coordinator (CSC) will support the Director of Clinical training in the daily operation of the CFTC in both virtual and face to face venues. The incumbent will be responsible for conducting intake of potential clients in a timely manner; monitor and ensure Therapist Interns adherence to Centre and Regulatory policies and best practice standards for documentation of personal health information records; maintain electronic and paper documentation and data management systems; scheduling and assigning tasks to part-time reception staff; coordination of information including taking minutes of meetings, gathering statistics for report writing; analysis of accountability programs and in house evaluations. The CSC is responsible for coordinating public relations and marketing programs and some services with the Centre for Psychological Services, updating the website and brochure and managing mail outs. The incumbent is also responsible for coordinating admission and interviews for prospective CFT Program applicants.
Requirements of the position include:
- Two-year Community College diploma in Family Relations, Psychology, or related social sciences discipline (undergraduate degree preferred) and a minimum of one (1) year of related experience, or an equivalent combination of education and experience
- Knowledge of human development family relations and general mental health issues
- Excellent communication, interpersonal and organizational skills
- Experience in a clinical setting would be preferred
- Strong ability to maintain confidentiality and exercise sensitive judgment when interfacing with current and prospective clients
- Ability to make critical decisions in crisis or high stress situations
- Excellent customer service skills in person and on the phone including courtesy, tact and a strong ability to contain conversations
- Competence in electronic data management and computerized systems (i.e. Office 365; Outlook Mail; Excel, Qualtrics)
- Ability to trouble shoot and train others in electronic data management systems
- Mathematical skills to manage remittance of client fees and work within a budget system
- Ability to work independently while also working collaboratively with other staff and faculty, providing clear, respectful, and supportive feedback to Therapist Interns
This appointment is regularly performed on- campus but will be initially fulfilled remotely (off-campus) until the University resumes its regular operations.
